Terms of Service

These Terms of Service (the "Terms") form a binding agreement between you and DDM Technology ("DDM", "we") governing your use of DDM Flow (the "Service") at https://ddmflow.com. By signing up or using the Service you agree to be bound by these Terms.

1. Eligibility

You must be 18 or older, have the legal authority to enter into a contract, and use the Service for legitimate business purposes. If you sign up on behalf of an organisation, you confirm you have authority to bind that organisation.

2. Your account

  • You're responsible for keeping your login credentials secure.
  • Notify us immediately at support@ddmtech.co.za if you suspect unauthorised access.
  • One account per business. If multiple staff need access, contact us about team seats.

3. Subscription plans, trials, and payments

  • New accounts start on the Free plan. No card is required, and it does not expire. There is no trial period.
  • Paid plans are billed for a period at a time through Paystack. Your access continues to the end of a period you have paid for.
  • You can cancel any time from Settings → Plan & Billing. Cancellation takes effect at the end of the current paid period; no refunds for unused time.
  • Prices are listed in ZAR and include applicable taxes unless stated.
  • We may change prices with at least 30 days' notice for existing subscribers.

4. Acceptable use

You agree not to:

  • Use the Service for illegal activity, fraud, or to send unsolicited bulk messages
  • Reverse engineer, scrape, or extract data from the Service beyond the documented API
  • Attempt to bypass tier gating, rate limits, or other access controls
  • Upload malicious content or attempt to compromise other accounts
  • Use the Service to issue fraudulent or misleading invoices, or to facilitate tax evasion

5. Your data

You own your data (clients, invoices, items, payments, etc.). We host it on your behalf. See our Privacy Policy for how we process it.

You can export your data at any time from Settings → Account.

Cancelling a paid plan does not delete anything. Your workspace reverts to the Free tier and your data stays, so you can come back to it. Deletion happens only when you ask for it: deleting your account from Settings → Account permanently removes your workspace, its records and your stored files, and cannot be undone. We may retain what the Companies Act, the Tax Administration Act and other legislation require us to keep.

6. AI features

Pro-tier accounts can use the in-app AI Assistant, which sends queries plus the relevant portion of your workspace data to Anthropic Claude via the Vercel AI Gateway. The Assistant's outputs are generated by an AI model and may contain errors. You are responsible for reviewing anything it drafts before sending it to a customer or relying on it for tax / accounting purposes.

7. Service availability

We aim for 99.9% uptime but make no formal SLA commitment on standard plans. We may perform maintenance with reasonable notice. Brief outages may occur.

8. Disclaimers

The Service is provided "as is" without warranty of any kind. We are not a registered accountant or tax practitioner. DDM Flow is a tool — using it does not constitute tax, accounting, or legal advice.

9. Limitation of liability

To the maximum extent allowed by South African law, our total liability arising from or related to the Service is limited to the amount you paid us in the 12 months before the event giving rise to the claim. We are not liable for indirect, incidental, consequential, special, or punitive damages.

10. Termination

You may cancel at any time. We may suspend or terminate accounts that violate these Terms, with notice when reasonable. On termination, your right to use the Service immediately ends; sections 5, 8, 9, and 11 survive.

11. Governing law and disputes

These Terms are governed by the laws of the Republic of South Africa. The courts of Gauteng have exclusive jurisdiction.

12. Changes

We may update these Terms. Material changes will be communicated in-app or by email at least 14 days before they take effect.
